AI Form Creation in Fluix: Build Custom Inspection Forms in Seconds

Oleksandr Karpov Web Platform Lead

Building a new inspection form typically takes two to three hours. Even if ops managers have a full IT team that can help, it’s slow. Especially when you do it between inspections, and the deadline is close.

That’s what we’ve designed our AI Form Creation for. Same form, same fields, same logic, but you build it from a prompt in under 10 seconds instead of two hours from scratch.

In this guide, I’ll walk through how AI Form Creation works, what to expect from it, and where it doesn’t replace building a form by hand.

Note: AI Form Creation is available on the CREWS plan. Compare Fluix pricing plans to see what’s included.

What Is Fluix AI Form Creation?

AI Form Creation is AI form generation in Fluix that turns a text description or an uploaded document into a working digital form, usually in under 10 seconds.

Type what you need, attach a reference file if you have one, hit generate, and the form appears in the Form Builder ready to edit, save, or drop straight into a workflow.

It works with text prompts, file uploads (PDF, PNG, JPG), or a combination of both.

You can also start from one of the built-in prompt suggestions (vehicle inspections, hazard identification, permit to work, and so on) if you’d rather not write the prompt yourself.

A few things worth knowing up front:

  • It generates forms in the dynamic view only. If you’re not familiar, start from learning about dynamic forms here.
  • The output is fully editable. AI gives you a starting point – you still own the final form.
  • It’s not a replacement for the Form Builder. It’s an on-ramp to it.

How to Create a Form with AI in Fluix

You start from inside Fluix — from the Forms section, the Form Builder, or the Workflow Builder. All paths land on the same AI input screen.

  • Tell Fluix what you need. Type a description in plain language (“a vehicle inspection covering exterior, tires, fluids, brakes, and driver sign-off”), upload a reference file you want it built from, or pick one of the suggested prompts for common inspection types. You can combine them — upload a PDF and add a note in the prompt to tweak it.
  • Generate the form. Hit the button. Fluix builds the structure in under 10 seconds for a prompt, slightly longer for an uploaded document. A loader runs while it works.
  • Review what comes back. The form appears as a preview with mobile, tablet, and desktop views — useful because most field teams fill these out on a phone. A feedback panel asks you to rate the output and flag what went wrong if anything did. That feedback actually feeds back into the model, so it’s worth using.
  • Decide what to do with it. You’ve got three paths from here: recreate it with an adjusted prompt, open it in the Form Builder for manual editing, or save it straight to your form library. Most admins open the Builder for the first form and only skip that step once they trust the output for that form type.

What Inspection Teams Use AI Form Creation For

These are the four use cases we see most often in customer accounts. They’re not hypothetical — they’re patterns we tracked across early access.

Digitising legacy paper checklists

A safety lead has a binder of 30 inspection checklists from before the team moved to Fluix. Each one used to take 90 minutes to rebuild in the Form Builder. With AI Form Creation, the same checklists get uploaded, generated, and reviewed in roughly 10 minutes each — most of which is review, not building.

Spinning up forms for a new regulatory requirement

A compliance manager gets notified of a new audit requirement that needs a specific inspection record. Instead of waiting two weeks for the team to build the form, they type the requirement into the prompt, generate, refine in the Builder, and have it live the same day.

Onboarding new admins faster

A new admin joins the team and needs to set up forms for a new department. Rather than learning the full Form Builder before building anything, they use AI Form Creation to generate working drafts, then learn the Builder by editing what’s already there. The learning curve flattens significantly.

Iterating on form drafts with stakeholders

A field operations manager working with a safety officer on a new equipment inspection form can now generate three variations of the form in a meeting, compare them, and pick the closest one to refine — instead of going away for a week to build each draft.

What Problems AI Form Creation Solves

Most admins I talk to can build a form in Fluix. It’s not technical skills but the time they often don’t have. A new safety inspection comes in, a new regulator asks to write an incident report, a customer wants a custom checklist, and you have to sit down with the Form Builder for two hours to get it set up.

AI Form Creation solves four specific things we hear from admins:

1. Manual form creation eats half a day. A typical inspection form has 20–40 fields, sections, conditional logic, and signature blocks. AI Form Creation produces this structure in seconds and drops you into the Builder for fine-tuning instead of cold-start construction.

2. Existing paper or PDF checklists don’t translate themselves. Most teams come to Fluix with a folder of legacy checklists — PDFs, Word docs, Excel sheets — that need to become digital forms. Until now, that meant retyping them field by field. Now you upload the file and Fluix extracts the structure into a fillable form.

3. Admins without Form Builder expertise stall out. Not every admin is a power user. New admins sometimes look at the Builder and freeze. AI Form Creation lowers the entry barrier — describe the form in plain English, get a working draft, then learn the Builder by editing what’s already there.

4. New processes get delayed because forms aren’t ready. The bottleneck for rolling out a new inspection workflow is often the form, and not the workflow. AI Form Creation removes that bottleneck so a new process can go live the same day it’s requested.

AI Form Creation FAQ

What is Fluix AI Form Creation?

AI Form Creation is a feature inside Fluix that generates digital inspection forms from a text description or an uploaded document. It supports PDF, PNG, and JPG files, produces forms in seconds, and drops them directly into the Form Builder for editing.

Who’s it for?

Mostly admins setting up new forms — safety leads, compliance managers, ops administrators. If you’re someone who builds and maintains forms in Fluix, this is for you. Field workers don’t interact with it directly.

What file formats does it accept?

PDF, DOCX, XLSX, PNG, and JPG. Up to 20 files per generation, 400 MB total.

How long does generation take?

Usually under 10 seconds for a text prompt. Larger uploaded documents can take longer. The loader shows progress while it runs.

Can I edit the generated form?

Yes. Every form opens in the standard Form Builder where you can change fields, add conditional logic, configure sign-off, and adjust anything else. AI gives you a starting point, not a locked output.

Does it work with workflows?

Yes. If you launch AI Form Creation from the Workflow Builder while configuring a task, the generated form can be attached to that workflow directly. Otherwise, save it to the form library and add it to any workflow later.

What if the form isn’t right?

You’ve got three options: recreate with an adjusted prompt, open in the Form Builder and edit manually, or rate the output as Unacceptable and specify what went wrong. The last option feeds into how we improve the model.

Is the data I upload secure?

Files uploaded for form generation are processed for that single generation session. For full details on data handling, see the Fluix Security Whitepaper.
