What type of document flow is best automated with Fluix?

Historically, Fluix is best suited to automate document flow of mobile workforce. They could be sales reps, service technicians, remote workers, from a variety of industries.

The work is normally generated in the office, passed to the field team, and eventually returned as a modified PDF document.

The simplest scenario is when user starts with a blank template, or grabs an incoming case from the storage or another app. It could be either a regular PDF file, or a fillable form, that travels through the process according to workflow rules predefined by Administrator.

The most changes are introduced to the document in the mobile or web app by entering data or visually annotating the content. Other handling include electronic signing, re-assigning to other users, and finally sending files over email, or saving back to storage.

What are the options to deliver documents to end user?

There are many ways to deliver documents to end users:

Push by Admin: Push to Workflow option on a workflow page sends documents to either My Inbox (for an individual) or Group Inbox (for groups) on the user device.

Make available on storage: A number of document sources (Templates, Cabinet) allow users to connect to storage and pull the document into Drafts state simply by opening and working on it.

Pull by User: Many apps, e.g. email clients, allow contextual Open in menu for the files they handle. It allows end users to transfer a document directly to Fluix by either sending it to a specific workflow (provided Other Apps is set up as a Document source), or saving it as a local copy in Personal section of the mobile app or web browser version.

What are the options to sign a document?

Fluix fully supports electronic signing of the documents and secure digital certificates to make them legally binding.

The primary method of capturing a signature is to simply use a finger or stylus on a device running Fluix, such as iPad or iPhone. It is also possible to obtain a signature via email by sending a message with a secure link to anyone with an email address. The signee would open web browser and sign the document online by typing own name.

What are the options to return documents back to organization?

There are many ways to return documents back to organization:

Share local documents: The documents that are locally stored in the ‘Personal’ section of the mobile app can be shared with an export button while being edited. The options include copying to cloud storage, sending by email, printing, and opening in other apps.

Company Drive option allows 2-way sync of files from your company cloud storage to the user app and back.

Upload to storage: ‘Upload to folder’ submit rule allow users to connect to storage and save a document to the designated folder automatically.

Send over email: ‘Send by email’ submit rule allows users to send a document to either predefined or entered email address.

Submit to URL: ‘Submit by HTTP’ submit rule allows automatic sending of a fillable form content to a predefined web address.

What file formats are supported?

The primary document format supported by Fluix is PDF. Being our core competence for years, we provide a range of tools to efficiently handle this format at every stage of the workflow. Most notably, end users enjoy advanced document annotation, inline editing, secure signing, and form filling capabilities.

The formats below can be opened and shared in Fluix, but without ability to edit or annotate them:

Picture Viewer: png, jpg, jpeg, bmp, ico, xbm, gif, tiff, tif, tga

Are fillable forms handled differently from regular documents?

Fillable forms are regular PDF documents that are handled in the same fashion from the workflow point of view. However, they provide additional interactivity of collecting and sharing data, making it an attractive business tool for mobile workforce.

Office workers also enjoy fully-fledged form filling capabilities with the newly added Web App, based on their familiar technical environment.

Some speciality features are only available in PDF forms, such as electronic document signing, extracting field values, and dynamic Javascript behavior.

In case you do not have PDF forms yet, or require a new one, you can contact us at support@fluix.io to get the professional services, or create a form on your own in Fluix PDF Builder, available in Tools on the admin portal. You can also create a form in Adobe Acrobat Pro with the help of hacks in creating PDFs.
